Studio Policies

Campbell River, British Columbia. These policies are intended to support a safe, welcoming, and intentional studio experience for all.

Booking & Scheduling

All classes must be booked in advance through the Studio’s booking system. Class availability is limited to ensure small-group, high-quality instruction.

The Studio reserves the right to modify class schedules, instructors, or offerings as needed.

Cancellation Policy

A minimum of 12 hours’ notice is required to cancel or reschedule a class.

Late cancellations and no-shows will result in the loss of the class credit. Repeated late cancellations or no-shows may result in restricted booking privileges.

This policy allows us to respect instructor time and offer spots to members on the waitlist.

Waitlists

If a class is full, members may join the waitlist through the booking system. If a spot becomes available, the system will automatically add the next person on the waitlist.

Members are responsible for managing their bookings and cancellations once moved from the waitlist.

Arrival & Late Policy

Please arrive 5–10 minutes early to allow time for setup.

Late arrivals may not be admitted once class has started, for safety and flow reasons. Late arrivals who are not admitted will forfeit their class credit.

Class Credits & Expiration

  • Monthly membership class credits do not roll over to future months
  • Unused credits expire at the end of each billing cycle
  • Memberships are non-transferable and may not be shared

Studio Etiquette

To maintain a calm and respectful environment, we ask all members to:

  • Silence mobile phones during class
  • Speak quietly in shared spaces
  • Respect instructors, staff, and fellow members
  • Maintain personal hygiene appropriate for shared equipment

Equipment Use & Safety

Studio equipment must be used only as instructed. Please inform your instructor of any injuries, pain, dizziness, or discomfort.

The Studio reserves the right to refuse participation if safety concerns arise.

Health & Medical Considerations

Members are responsible for ensuring they are medically cleared for participation. Pregnancy, injury, or health changes should be disclosed prior to class.

Modifications are offered when appropriate, but participation is always at the member’s discretion.

Cleanliness & Care

  • Equipment is cleaned regularly by the Studio
  • Members are encouraged to wipe down equipment after use
  • Indoor-only footwear or grip socks may be required

Personal Belongings

Please store personal items in designated areas. Flow Pilates Studio is not responsible for lost or stolen items.

Conduct & Right of Refusal

Flow Pilates Studio reserves the right to refuse service or terminate memberships for unsafe, disrespectful, or inappropriate behavior.

This includes conduct that disrupts the class environment or compromises safety.

Policy Updates

These policies may be updated periodically to reflect studio operations. Members will be notified of material changes when applicable.

By attending classes at Flow Pilates Studio, members acknowledge and agree to these Studio Policies.
